Virtual Assistant
Our client is a marketing consulting firm seeking a Part-Time Administrative Assistant. The Administrative Assistant is a bit of a "Jack or Jill of all trades" who needs to execute across several areas: admin, bookkeeping, operations, research operations, project management, and administration.
The ideal candidate will be a master of logistics and thrive in a fast-paced, highly collaborative, and entrepreneurial environment. This individual must be able to take direction and solve problems independently. They will carry significant responsibility, supporting internal processes, coordinating activities, and being self-driven to complete tasks. This position is highly flexible, requiring 20-25 hours per week, with mandatory working hours from 7:00 to 9:00 AM PST and flexibility for the remaining hours. For someone who exceeds expectations and contributes significantly to the company's goals, this could transition to a full-time role.
What You’ll Do:
- Manage the owner’s calendar, meeting requests, and email inbox.
- Collaborate closely with researchers, consultants, and clients to manage project deadlines and deliverables.
- Oversee administrative operations, including bookkeeping and client billing.
- Manage project timelines and updates in project management software.
- Coordinate recruitment efforts for virtual customer research (email outreach, scheduling, communication, and incentive management).
- Identify and implement process improvements for greater efficiency.
What You’ll Need:
- At least three years of experience as an administrative or executive assistant and company bookkeeper.
- Proficiency in Google G-Suite/Workspace and QuickBooks.
- Ability to learn new, complex subjects quickly.
- Self-motivation to excel in a fast-paced startup environment while managing multiple projects.
- Strong problem-solving, collaboration, and team-playing skills.
- Excellent written, verbal, and interpersonal communication.
- Exceptional time management and organizational abilities.
